How to Build Long-Term Relationships With Funders

The secret to sustainable funding isn’t just a great proposal—it’s stewardship. I often tell my clients: don’t just cash their check and disappear for 12 months. Every communication with a funder is an opportunity to strengthen a relationship that can last for decades.

A great rule of thumb is the “3-to-5” rule: for every time you ask for money, you should “touch” the funder three to five times with updates, success stories, or thank-you notes without asking for anything. Transparency is also critical. If you are going to miss a goal or need to spend funds differently than planned, talk to them about it early. Funders are often incredibly supportive when you are honest about challenges, but they hate surprises in a final report.

Finally, leverage opportunities like site visits. When a funder can see and feel your impact in person—talking to the people your agency serves—you build a level of credibility that no written report can match. Treat your funder as a partner in your mission, and they will likely treat you as a long-term investment.
