1. Mission Alignment
This is the most critical factor. Your proposal must clearly connect your work to the funder’s specific priorities. If a funder values “community impact” and “diversity,” your narrative should use those exact words to show how your goals mirror theirs.
2. Clarity and Brevity
Reviewers may read 20 to 80+ applications in a single cycle. They deeply appreciate it when you get to the point. Answer the question in the very first sentence of your response. Avoid “10-dollar words” and overly technical jargon. If you can explain your program to a neighbor, you can explain it to a grant reviewer.
3. Outcomes Over Outputs
This is where many organizations struggle. Outputs are what you did (e.g., “served 500 meals”). Outcomes are the change that happened because of it (e.g., “participating seniors demonstrated improved health indicators”). Funders want to see SMART goals—Specific, Measurable, Achievable, Relevant, and Time-bound. Use surveys or assessments to provide objective data that proves your intervention is working.
4. Organizational Credibility
Your “attachments” are the evidence that back up your claims. Funders look at your board list to see if your leadership is diverse and qualified. They review your financial audits and 990 tax returns to ensure you are fiscally responsible. Having a “clean” audit and a balanced budget shows that you have the capacity to manage the funds.
5. Financial Storytelling
Don’t just provide a spreadsheet; tell the story of the numbers. Explain why certain expenses are necessary and how the grant will be leveraged alongside other funding sources. When you connect your financial needs to your community impact, you show the funder exactly how their investment will be “changing and saving lives”
